UAE e-invoicing when your invoices come from Excel or a custom system

Most e-invoicing guides assume you run Zoho, Tally or Odoo. If your invoices come from an Excel sheet or a system built for you, here is what changes, when, and what has to be built.

What we do for e-invoicing

  • Clean invoice dataCustomers, TRNs and items fixed at the source
  • Excel to a real systemInvoices saved as structured records
  • Export to your ASPIn the input format your ASP accepts

The UAE is moving business-to-business and business-to-government invoices to e-invoicing. Each invoice goes as structured data, in the PINT AE format, through an Accredited Service Provider (ASP), which also reports the tax data to the Federal Tax Authority. The Ministry of Finance says plainly that a PDF, a Word file, a scan or an email is not an e-invoice.

That is easy if your accounting software already has an ASP connection. It is hard if your invoices live in Excel or in a billing system someone built for you years ago. Krira Digital is a software studio. We are not an ASP and do not send e-invoices ourselves. We clean up and structure the invoice data in your billing system, or replace the Excel sheet with a small system, so the data can go through the ASP you choose.

Dates and fines on this page are taken from the Ministry of Finance e-invoicing page and the decisions it links, checked on 1 November 2026. This is general information, not tax or legal advice: confirm your own position with your tax adviser and your ASP.

Where Excel and home-made billing get stuck

The invoice is only a PDFAn ASP needs the data behind the invoice as fields, not a printed page.
Buyer details are looseTRNs, legal names and addresses typed differently on every invoice.
Numbers and credit notes driftCopied sheets, reused invoice numbers, credit notes written by hand.

What we build, and what your ASP does

We: clean the dataCustomer list with TRNs, item list with tax treatment, and invoice numbering that never repeats.
We: replace the sheetIf invoices are typed in Excel, a small billing system saves each invoice and credit note as structured records.Learn more
We: send data to the ASPA file export or an API call in the input format your ASP accepts, built to its documentation.
We: catch errors firstMissing mandatory fields are flagged before an invoice is issued, not after.
Your ASP: validate and exchangeChecks the e-invoice, turns it into the UAE format, sends it to your buyer's ASP and reports it to the tax authority.
We: keep your PDF and WhatsApp copyCustomers can still get a readable PDF on WhatsApp, alongside the e-invoice.Learn more

What we have really built

Invoices from a quotation system: the uPVC window ERP we built for a fabricator in India turns a saved quote into an invoice and sends the PDF on WhatsApp. More on it under Related pages below.

A school ERP that replaced an Excel workbook: admissions, fees and receipts moved from sheets into a database, with old records imported and checked against the sheet totals.

API connections in our own sales system, which imports leads and sends and reads email through other services' APIs.

We have not yet connected a billing system to a UAE ASP. When we do it for you, we build to your chosen ASP's documentation and test in its test environment before the first live invoice.

How the work runs

  1. 1Pick your ASPChoose from the Ministry's list. Ask it which input formats it accepts: file upload, API, or both.
  2. 2We audit your invoicesWe check a sample of your invoices against the mandatory fields list and show you what is missing.
  3. 3Build, test, go liveWe fix the data and build the export or the new billing screen, test with your ASP, then you go live.

Fixed quote after a short call

We quote a fixed price after a short call where you show us a few invoices and tell us which ASP you chose. ASP fees are separate and paid to the ASP. WhatsApp is the quickest way to reach us.

Questions

Does UAE e-invoicing apply to my business, and when?

It covers business-to-business and business-to-government invoices. If your revenue is AED 50 million or more, you had to appoint an ASP by 30 October 2026 and must go live by 1 January 2027. Below AED 50 million, appoint an ASP by 31 March 2027 and go live by 1 July 2027. Sales only to consumers are not in scope for now.

Can I keep invoicing in Excel after e-invoicing starts?

Excel can stay as the place you type, but the sheet itself is not an e-invoice, and neither is a PDF of it. Your ASP needs each invoice as structured data with every mandatory field. Ask your ASP which input format it accepts; if Excel can't produce it cleanly, a small billing system is usually safer. See Excel to web app.

What information must a UAE e-invoice contain?

The Ministry of Finance publishes the list of mandatory fields as a PDF on its e-invoicing page, linked above. Use that list rather than a summary, because it is updated. We check your invoices against it field by field.

Our billing system was built in-house. How does it connect to an ASP?

There are two usual routes: the system exports invoice files that the ASP imports, or it sends each invoice to the ASP's API. Which one depends on what your ASP offers. We build the export or API connection to your ASP's documentation and test it there first.

Do credit notes have to be e-invoiced too?

Yes. The penalty decision treats a missing electronic credit note the same as a missing e-invoice. Your system needs to issue credit notes as structured records linked to the original invoice, not as edits to the old one.

What are the fines for not complying with e-invoicing in the UAE?

Under Cabinet Decision 173 of 2026: AED 5,000 for not implementing the system or not appointing an ASP, then AED 5,000 for each month it continues, up to AED 50,000 in 12 months. AED 100 for each e-invoice or e-credit note not issued, up to AED 5,000 a month. AED 250 a day for not telling your ASP about changes to your registered data, up to AED 5,000 a month.

Are you an Accredited Service Provider?

No. Krira Digital is a software studio. We prepare and structure your invoice data and connect your system to the ASP you choose. The ASP validates, exchanges and reports the e-invoices.

How long does it take to get ready before 31 March 2027?

It depends on how clean your invoice data is and what your ASP accepts. An export from a tidy system is a short job; replacing an Excel sheet with a billing system takes longer. Start with the invoice audit now, and the date is fixed in your quote.
