Your Excel quote calculator, rebuilt as an online quoting tool that sends the PDF for you
Keep the pricing math you trust. Your sales team picks options on a screen, the price comes from your formulas, and the customer gets a branded PDF by email or WhatsApp.
From spreadsheet to sent quote
- Your price formulasMoved from the sheet, checked line by line
- Branded PDF quoteSent by email or WhatsApp in one tap
- Quote to invoiceAccepted quotes become invoices without retyping
Many small companies price every job in an Excel quote calculator. Someone fills in sizes and options, the sheet adds materials, labor and margin, and the total gets copied into a Word template, saved as a PDF and emailed. It works, but it is slow, and every salesperson has a slightly different copy of the file.
Krira Digital rebuilds that calculator as quoting software. Your formulas become the price engine, your price list lives in one place, and the quote goes out as a branded PDF. We built exactly this for a window fabricator in India, and we work with US businesses remotely.
Where Excel quoting goes wrong
In daily use: quoting for a window fabricator
A uPVC window maker in India priced every quote from an Excel workbook of rate formulas. Staff now type each window as a short line, such as its width, height, type and glass. The app prices it from the shop's own Excel rate formulas, so the numbers match the sheet the owner trusts.
From the same quote it prints the quotation, sends it as a PDF, makes the cutting lists for the shop floor and turns the order into an invoice. A single quote can hold more than 200 windows and still prints as one PDF.
What your quoting tool can do
CPQ software, a quote widget, or a custom tool?
| Off-the-shelf CPQ or quote software | Website quote widgets | Custom quote tool | |
|---|---|---|---|
| Examples | KBMax, QuoteWerks, Quotely | ConvertCalculator and similar | Built around your workbook |
| Your pricing rules | Re-entered in the vendor's rule format | Simple formulas on one form | Your Excel formulas, as they are |
| Cost model | Subscription, often per user | Monthly subscription | One build price, then hosting |
| Best for | Large sales teams and big catalogs | A quick public estimate | Small teams with pricing rules of their own |
| Who owns it | The vendor | The vendor | You: code and data in your name |
If an off-the-shelf tool fits your pricing, it is often the faster choice. We say so on the first call when it does.
How we rebuild your calculator
- 1Send the calculatorYour quote workbook and two or three real quotes you sent. We map every input, rate and formula.
- 2Match the numbersWe price your past quotes in the new tool. Every total must match the sheet before you use it.
- 3Templates and go-liveWe set up your PDF layout, email and WhatsApp sending, and invoices, then train your team.
A fixed quote for your quoting tool
Send your quote calculator, or a copy with dummy prices. After a short call we reply with a fixed price and a delivery date in writing. Payment in stages.
Questions
Can my Excel quoting spreadsheet become real quoting software?
Yes. We move your formulas into the software as the price engine, then price your past quotes again and compare the totals with your sheet. The window fabricator we work with still gets prices from the shop's own Excel rate formulas, now inside the app.
How do I stop salespeople using old price versions?
Keep one price list in the software, not in copies of a file. Only the people you choose can change rates, and the new rate applies to every new quote at once. Each saved quote keeps the rates it was priced with, so old quotes still make sense.
Can it send a branded PDF quote by email or WhatsApp?
Yes. The PDF is created from the quote with your logo, layout and terms, and sent from the quote screen by email or WhatsApp. The window fabricator's app sends its quotations as PDFs this way.
Can customers get a price on my website?
Yes, if your pricing can be shown publicly. We add a calculator or configurator to your site that uses the same rules as your internal tool, and logs each request for your team. Some businesses show a price range online and send the exact quote after a check. For rules running live on a website, see the product configurator on the PTP CNC Toolings catalog we built.
Can it turn an accepted quote into an invoice?
Yes. When the customer accepts, the quote becomes an invoice without retyping, so the two always match. It can also produce work orders or cutting lists, as the window fabricator's app does.
Should I buy off-the-shelf CPQ software or build a custom quote tool?
Buy CPQ if you have a large sales team, a big catalog and rules that fit the vendor's format. Build custom when your pricing lives in a workbook that only your formulas get right, and your team is small. Custom has no per-user fee, and you own the code.
What does a custom quoting tool cost?
Custom builders rarely publish prices, and tools like ConvertCalculator and Quotely charge a subscription. Studio prices for turning a workbook into an app are on our Excel to web app page. We quote a fixed price after a short call and a look at your calculator.
